Organizing Digital Photos From Multiple Sources
I had a solid photo organizing, editing and uploading system going until last summer when I got my smartphone, and then everything dissolved into chaos. My system only worked when I had photos coming from one source, and the addition of a new stream really threw a wrench into things. Also, the transition from constant traveling to regular life also changes things a bit. I no longer need to constantly be dealing with photos, but that does bring up the question of when to deal with the random photos from life.
As the months have passed, I've finally gotten into a system. One key point was to realize that I don't need to be editing and dealing with photos all the time. Once a month is good enough. So when the month rolls over, that's when I go through all the photos from the previous month. Knowing the time frame of the photos I'm dealing with has really helped to know when to move photos from one place to another, when to delete photos, etc.
To start, I make a new folder in my photos folder for the month. I also put the location because I don't actually keep track of my life by dates, but by location.
Here's a look inside the folder. This is actually from March, because we didn't take any photos with our camera this month. Our camera organizes the photos in folders by days, which I leave alone. I also make a folder called "phone" and "insta". I drag my photos from these locations here.
I should note here, that at some point I set up an automatic sync from my phone to my computer, so my photos from my phone are always on my computer. But at this point I copy them from the sync folder to the proper month folder. (I use the app Dropsync, which works through Dropbox.)
At this point, it's time to do some tagging and editing. I've been using Lightroom for a little while now, and if you spend time editing photos, this is really the program to use. I regret that I spent so much time editing in Photoshop. I'm just going to wave my hands over this part like it's magic. I'm really, really far from knowing anything about Lightroom and I mostly just hack my way through things, so I think if I said anything about my methods in Lightroom I'd just give you bad habits.
One really cool thing about Lightroom is that you can upload directly from it to various online locations. My main online photo place is Flickr, which I've used for many years. I like knowing that I have a back-up back-up online through Flickr. Also, if I ever need to search for a photo, I do it there. I rarely go through my photo folders to find a photo, instead I'll just download it from Flickr.
My organiztion within Flickr is pretty similar to my computer desktop. I have one collection of "By Year" and one for "By Location". So when I upload a new album to Flickr (2014.04 - OR), I'll put it in two places "By Year" and "By Location". This helps me when I'm browsing for photos later on.
After editing photos in Lightroom, I'll export them to my layout making folder. This way I can delete them as I use them, so I know what layouts I have left to do.
That's pretty much it! Doesn't seem so complicated now that I've typed it up, but it did take a while before I figured it out. Do you have any special photo organizing/editing tips?
And before you go, I want to highlight a couple of great parts of our image collection. We have fantastic free SVG files for snagging and PNG images that will delight you. These are versatile and great image formats of which we have an abundance of high quality graphics that you can download for free right on our site.

About Me
Hi There! I’m Marisa Lerin and you’ll see me around at DigitalScrapbook.com a lot. I started this site in 2010 soon after I discovered a new love in digital scrapbooking. DigitalScrapbook.com has gone through some significant changes since that time and it’s grown into this lovely community site you are seeing now. I am daily surprised by the turn of life’s events that has led me down this path. If you're new to the site, welcome! Here are a few tidbits about me that I hope will help you get to know me better!
I’m originally from Minnesota, USA, but spent a good chunk of my childhood living abroad (in Bolivia and Hong Kong). I returned to Minnesota to attend university, got married and then moved overseas again (Korea, then Jordan and 1 year of traveling). My designs are heavily influenced by these many nomadic years. I am currently back in the USA, now living in the great state of Oregon!
I have no official training for what I’m doing, since I decided very wisely (haha) to study physics in university. I am always learning new things about digital scrapbooking, and this community has been immensely helpful for that!
If I manage to stop digital scrapbooking you will probably find me watching TV, reading or baking. I also enjoy writing for the blog here at DigitalScrapbook.com where I talk about whatever happens to be catching my fancy at the moment.

Thank you!!! I'm just getting started and organizing my photos is my biggest block.
Super organization system. I do something similar but not as thoroughly.
Thanks for sharing. I've found that adding more sources always complicates things. I often use the "Camera Model" in the Windows filing properties to group together my extended families photos by the people that shot them. So far we've all had different cameras and no ones overlapped yet. Always glad to see others systems, gives ideas for tweaking my own system.
I also rename my by dates. I started when trying to organize 40 yrs of my parents photos. We wanted to be able to do a simple slide show from a disc itself, over 13 years ago. This meant that the file names needed to be alphabetized by the computer system as it burned to the old file naming system for Windows and Disc's.
You can read more on my naming on my blog from last year. http://laurawellinghoffstudio.blogspot.com/2013/01/working-with-lot-of-photos-scanned-or.html
A layout making folder is an awesome idea! I've done a to print folder before but never thought about a folder specifically for making layouts. Thanks!
@Kaleena: I do mine the same way! I then get pages printed by year. So, I just got my 2013 scrapbook printed with blurb :)
Thank you so much! My pics too became a hot mess, appreciate the easy to understand guide.
Great tip, thank-you, you are very organised...
Thank you for a great tip.
Thanks for the tips, Sounds like you are pretty organized to me. I will have to give that a try. Thanks
It is interesting to see/hear about the way other people organize their photos.
Mine are are in folders like this pics -> year -> month -> date and event (like 05_01_2014 geocaching near wsu or 02_01_2014 dels birthday - some dates have more than one folder 03_17_2014 cat, 03_17_2014 playing with evie). At the end of each month I take all the photos from my phone and instagram account and put them where they go, usually the camera gets dumped often throughout the month.
This is similar to what I do...I have a My Pictures folder (on a 2TB external hard drive that also gets backed up online via CrashPlan) then under that, a folder for each year then under that, I create a folder named by date and event (i.e., 2014-05-01 AHHS FFA Banquet), so it doesn't matter what source my photos come from (camera, cell phone, other people). Then, I import them via Live Photo Gallery and can tag them as they are imported so they can be searched easily, too! Nice work!
That is what I'll call organization. My photos are on an external hard drive and it's a mess. Thanks for the tips. When I go looking for photos, it's quite an adventure, to say the least. You have given me another new project to do, like I needed anymore. lol
Gosh, Marisa, you really are super-organised! I don't actually take too many photos myself, I mainly use photos my daughter has taken, or scans of old family photos, but you've given me some great tips for the future!
